How to Order

Getting ready to make your final decisions?  Great!  Here’s what you need to know when you place your order.

1. Ways to place your order:

a. On-line: we have hundreds of options available in our online store.  You can search by material, shape, price range, color and more.  Place your items in the shopping cart, add your text, billing and shipping information and hit Submit.  You’ll get a follow-up email with instructions on submitting your logo(s) to us for your order.

b. Phone: 800-753-3384. Dial the extension for Sales and this will connect you with our Awards Consultants who can assist you with your order.  See the list below that outlines the information you’ll need to have ready to place your order.

c. Email: you can email your order information to our sales and customer service teams at sales@awardingyou.com.  See the list below for the information we’ll need to process your order.

2. What information you need to gather to place your order:

Important Note:  If you know what products you want, but won’t have your text and recipient information available until closer to your event date, we strongly encourage you to place your order now, so we can order materials and schedule your production order.  You’ll need to have your text and logo to us approximately 5-10 days before your event (depending on volume, whether there is color fill, and a few other variables) so we can ensure your order is kept on schedule.  Once you’ve placed your order, our Awards Consultants can give you a timeline for submitting your engraving information.

a. What awards have you chosen?

i. Part numbers
ii. Quantities

b. When do you need them?

i. Date of your event: the actual date the awards are being presented or needed for a photo opportunity.
ii. Date before the event you’d like to have your awards/gifts arrive at the event location.

c. Engraving text and logo?

We have a team of graphic artists that will take your logo and text and creatively lay them out on your chosen awards.  We will carefully consider the award shape and purpose, the text and logo you’ve supplied and then recommend the font, layout and sizing that will make the most of your requirements.

And just to reiterate what we said earlier, even if you don’t have your text and engraving information right this minute, place your order for the items you want, so we can get your components made and your order scheduled.  Our Awards Consultants can provide you with a timeline for when you’ll need to provide the text to keep your order on schedule.

i. Logo files:

For engraving items: 

  • Logo files are to be vector art images created by graphic programs such as Adobe Illustrator.
  • The images need to be black-line; no color or shading. 
  • The files need to be sent as .EPS  or .AI format.
  • Files that are not sent in this format may require additional time and cost for our graphic artists to redraw (costs range from $35-$150).

For color printing items:

  • Logo files are to be vector art images created by graphic programs such as Adobe Illustrator.
  • The images need to be black-line; no color or shading. 
  • The files need to be sent as .EPS format.
  • Files that are not sent in this format may require additional time and cost for our graphic artists to redraw (costs range from $50-$150).
  • We will also need a color version of the logo to allow us to correctly apply color in the right areas.
  • We cannot match Pantone colors exactly but we can come very close. Matching fees will apply and may require extra production time.  Please contact an Awards Consultant for additional information.

ii. Text: 

  • Please indicate what text you would like on each item.
  • If there is common text (to be engraved on a group of awards), please indicate that, and then if there is any unique text for the items. 
  • For orders with over 50 items, supplying the text in an Excel spreadsheet is recommended.  Contact an Awards Consultant if you have any questions.

d. Shipping Location

i. Where: what are the shipping locations for the items?

  • Indicate the shipping location for the awards.  This may be a company location or hotel/resort, convention center, or meeting facility.
  • If you are shipping products to recipient homes, to multiple addresses, need to ship internationally, or have complex requirements for your shipping needs, please contact our Awards Consultants to assist you with your order.

ii. Attention of: Who from your organization will be on hand to receive the awards?

e. Billing Location

i. Your company’s main billing address:

  • What is the mailing address of your organization? This may be a corporate headquarters, individual location, or division. We will be keeping your art files and order information under this name and location for future reference.  This may or may not be the same as the billing name and address on the credit card.

f. Credit Card for your order:

i. We accept Master Card, Visa, Discover and American Express for payment of your order.  Please have the name, number, expiration date and security code ready when placing your order.

ii. Your credit card will be billed at the time of order placement.  For some orders, shipment charges will be billed at the time of shipment.

3. What happens after you submit your order:

a. Order Confirmation:

You will be emailed an Order Confirmation from the Awards Consultant responsible for your order.  If there is any additional information we require or if we have questions about your order, we will contact you to confirm these items.

b. Art Proof:

i. You will receive an Art Proof from our Art Team that lays your logo and text out on a template of the award and gift items.  To see what an Art Proof looks like, view this Sample Art Proof.

ii. The timing of this depends on several factors, but is generally within several days of your order placement.

iii. The Art Proofs give you a chance to confirm spelling, grammar, etc.  Please try to review these promptly to keep your order on schedule.

c. Shipment Tracking Documentation:

Once your order ships, you will receive an email with tracking documentation so you can check on the arrival date and time of your order.
